Executive Assistant to the President & CEO

The Executive Assistant provides high-level administrative support to the President and CEO. Major areas of responsibility include; scheduling/coordinating meetings, maintaining meeting and travel calendars, scheduling speaking engagements and related activities, conducting research, preparing presentations, and handling information requests. Must be able to exercise good judgment in a variety of situations, have strong written and verbal communication skills, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The position must be able to work independently on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.

Qualified candidates should possess the following: 
  • Bachelor’s degree preferred
  • At least five years of related work experience in an executive assistant role
  • Experience in a non-profit faith-based organization is preferred
Duties and Responsibilities:
  • Provide a high level of administrative support to the President and CEO
  • Prioritize projects, deadlines and handle multiple tasks as assigned
  • Coordinate both business and personal calendars, arrange appointments, make reservations, schedule/set meetings, and handle travel arrangements
  • Write speeches, prepare letters and create presentations and support materials for specific meetings
  • Search databases, research and gather information as requested. Analyze and compile the data from the research into a report, if needed 
  • Prepare, organize, and maintain appropriate files
  • Deliver and pick up business and personal related correspondence and recognition gifts, as well as, running various business and personal errands in the Dallas/Ft. Worth metroplex and/or at our camp located in Van, Texas
  • Coordinate project-based work as requested
  • Assist and prepare for special meetings, including but not limited to ordering and setting up catering, etc. 
  • Prepare and proofread statistical reports, letters, memos and correspondence accurately and timely
  • Assist with Development table during summer camp Van closing ceremonies.  Collect donations, promote Cowboys and Cowboys, talk about Prayer Wall, collect alumni information, seek out donors etc. 
  • Provide support for fundraiser event Cowboys and Cowboys
Other Duties and Responsibilities:
  • Maintain compliance with Sky Ranch’s employee policies and procedures
  • Maintain compliance with all state and federal laws and regulatory requirements
  • Perform other duties as required

  • Must demonstrate annually a clear background check and review of child safety practices as required for camp accreditation by the American Camping Association

Knowledge of:
  • Knowledge of general office and telephone protocol
  • Must have advanced proficiency in word processing and computer software, preferably Microsoft Office (Word, Excel, PowerPoint, Microsoft Publisher and Access), Prezi presentation software and social media platforms 
  • Must have knowledge and evidence of extensive data entry and report writing
  • Requires a willingness to work a flexible schedule with occasional evening and weekend work

  • Prefer formal etiquette training, both personally and professionally.

  • Ability to speak, read, and write proficiently in English.  Ability to speak clearly and make self-understood in face to face interactions; to articulate with accuracy on the telephone and through e-mail.  Excellent listening skills

  • Excellent interpersonal skills, and relationship building skills
  • Excellent professional verbal and written communication skills required
  • Visibility of work requires attention to detail, excellent organizational skills, and discretion with highly confidential information

Physical Demands and Work Environment:
  • Little to no effort required. Ability to use up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects
  • Ability to grasp, push, pull, carry or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination
  • Works indoors in normal office environment majority of the time
  • Work location is flexible based on the needs of the President and CEO
